What is eAYSO?
eAYSO (electronic-American Youth Soccer Organization) replaces many different AYSO systems and databases with a single web-based application. It unites every person associated with AYSO: parents, players, volunteers, and staff. Each one of us can submit, edit, and view the AYSO information that pertains to us 24/7 on a secure website, depending on their access rights.
Every player and every volunteer registers annually with a signed registration form. The current season is FS2007 (Fall 2007/Spring 2008); the next season is FS2008, starting August 1, 2008. You only have to sign up on-line once, which takes less than 4 minutes to enter all the required information for one player or volunteer, whereby your e-mail address is your username and you pick your own password. In subsequent years, you just verify that info, before you print and sign it again. (See notes at the bottom of this page).
For Parents (Players):
- Go to www.eayso.org, select [First time] or [Log In]. Follow the on screen directions and enter information as requested on each page. Select [AYSO parents] on the screen with 3 big blue buttons if you are signing up your child and proceed.
For (Youth) Volunteers:
- The Youth Volunteer Form is for assistant coaches age 12 through 18 and youth referees age 10 through 18. A youth volunteer may fill out his own information if they are 14 or older, otherwise a parent has to fill out the form.
- Go to www.eayso.org, select [First time] or [Log In]. Select [volunteers] or [youth volunteers].
- Click on the printer icon next to your name. Sign 2 copies (1 for national, 1 for the region) and give/mail them to the Child and Volunteer Protection Advocate (CVPA) or Coach Administrator.

For Administrators:
- Go to www.eayso.org, select [First time] or [Log In].
- Do not share your password!
- In [NTSC], [Admin], a RC, AD or SD can assign or edit access rights, after a volunteer has created a Password, pre-registered as volunteer and National received the signed form. You'll need a volunteer's ID number. It's good to update these rights once in a while, since eAYSO develops over time. Keep track of who has been granted access!
- You can login multiple times with the same login info, but they do time-out, if there is no activity on the screen for more that 15 minutes, after which the login-screen re-appears.
- You can toggle between "My eAYSO" and the "Administrative site" by selecting [My eAYSO] on the left top, or [home] on the right top.
- Regional Boardmembers are responsible for transcribing the registration data into an electronic form via eAYSO. Remember that only one season can be set as "Current Season" for the Region at a time.
- Duplicate AYSO ID numbers can only be corrected by sending an e-mail to National. Make sure that when you register a volunteer, you take their oldest AYSO ID number (numbers starting with 5 are from the year 2000 onwards). All info from the duplicates is combined into the oldest number and the newer number deleted. Report mistakes in "positions" to Joan Buffandeau (Member Services Manager), and in "certification" to Steve Close (Referee), Crissie Hull (Coaching), Kristy Bailey (Management), Margie Close (Instruction).
- In [Registration], [player], the category [All NonRegistered Players] consists of "Previous Season", "NonReturning" and "PreRegistered" Players. [Remove] drops a player to the earlier season they were in, unless it’s a brand new player that was created, then they get move to the "Dropped Players" area. They can be renewed from there if needed.
- When changing [Region][Season Preferences], select the new (Pre-)Registration season and click [update] until the green confirmation appears: "Region Season Preferences deatils updated successfully".
- When the info of a newly pre-registered player/volunteer is combined with a player/volunteer already existing in eAYSO, all lines were old information existed will be overwritten, except for the DOB.
Merging duplicate volunteer records.
- When adding [Region][Volunteer Positions], do not duplicate the following "default" positions (assistant coach, assistant referee, coaching staff, referee, refereeing staff, regional staff, team coach, team parent and youth referee) which are already in eayso, since eayso will only see the default positions, which is important when assigning (assistant) coaches to teams. You can generate a report with these choices from [Reports][Export PreReg Data], at "Export Type" chose [Volunteer] and select "output fields". (It should also mark on the jobs in the forms, but since the form has some fixed fields your Regional jobs will be marked as "Other").
- For player rating, use 1, 2 or 3 digits; with 1 being the lowest rating and 999 the highest.
- Parents/Players cannot see the ratings or memo field.
- ALL Pre-Registered will be displayed, irrespective of the season they pre-registered for.
- eAYSO Offline Application allows regions to register/renew players and volunteers without an internet connection. The offline application is configured only for RC's, Assistant RC's, Regional Registrars, and Regional Trusted Data Managers. The upload process must be done within 14 days of the download process.
- SD, AD, RC, Asst RC, Registrar, Trusted Data Manager, and Computer/Data Entry member, can use the
eAYSO Admin Login to sign in. The next screen will display an email address field. This can be used to sign in as a parent or volunteer who has lost their password or changed their email address. Once signed in with the user’s email address, the Board member can click on My eAYSO – My Login info and change the password and/or email address and inform the user.
- To edit, delete, add Board Members on the RIF/AIF/SIF (Region/Area/Section Information Form), select [NSTC], your Information level and make changes. Remember that all volunteers are required to submit a signed volunteer form for the current season.

System availability:
- Maintenance and major updates will be scheduled Mondays, between 9pm and 5am, Eastern Time, during which the system may be UNavailable.
- System activity may be limited on all other days of the week, between the hours of 3am and 7am, Eastern Time.
- If you use AOL and the maintenance screen pops up on days other than Mondays between the hours of 9pm and 5am, Eastern Time,
[Crtl][F5] will clear the memory and delete the cache.
- BROWSERS: This website works ONLY on Windows 2000/XP and Mac OSX using the following three browsers – Internet Explorer version 6.0 and above, Netscape version 6.2 and above, Fire fox version 1.0 and above. This website does NOT work with Safari, Opera and other browsers. If you are Mac user and would like to download the Fire fox browser,
click here. Click on download link under Mac OS for the English language version.
- POP-UP BLOCKERS: Allow pop ups for this website. IE users click on [Tools][Internet Options][Privacy][Pop-up Blocker][Settings]. On the area "Address of website to allow", enter www.eayso.org and click on Add. Fire fox users add the site after clicking on Tools – Options – Content - Allowed sites.
- The eAYSO website is maintained by the National office of AYSO in Hawthorne, CA.
